Rules for sending bulk email
Sending newsletters or promotions to many recipients has different requirements from everyday mail. Following these rules protects your reputation and keeps you compliant.
Legal and courtesy essentials:
- Only email people who opted in. Never buy lists or scrape addresses.
- Include a clear unsubscribe link in every message and honour it promptly.
- Identify yourself with your real business name and a valid postal or contact address.
- Use an accurate From name and subject - no deception.
Technical requirements:
- Set up SPF, DKIM and DMARC so bulk mail authenticates.
- Warm up a new sending domain gradually.
- Keep bounce and complaint rates low by cleaning your list regularly.
Use the right tool. Standard hosting mailboxes have sending limits and are not designed for mass mail. For campaigns, use a dedicated email marketing service or a third-party SMTP relay (like SendGrid or Mailgun) which handles throttling, unsubscribe management and analytics, and protects your domain's deliverability.
Major providers such as Gmail and Yahoo now require authentication and easy unsubscribe for bulk senders, so these are not optional. Get these right and your campaigns reach the inbox.
