Why your emails go to spam
If your mail keeps landing in recipients' spam folders, it is almost always one of a handful of causes. Work through these in order.
- Missing authentication. Without correct SPF, DKIM and DMARC, providers like Gmail and Outlook distrust your mail. This is the number-one cause - set all three up first.
- Poor domain/IP reputation. If your domain or server IP has sent spam (perhaps a compromised mailbox), reputation drops. Check blacklists and secure any hacked accounts.
- Spam-trigger content. All-caps subjects, excessive links, spammy phrases ("free money", "act now"), or a single large image with little text.
- No reverse DNS (PTR) for the sending server.
- New sending domain with no history - it needs warming up.
- Recipient marked you as spam previously, or your list has stale, invalid addresses causing bounces.
Practical fixes: configure authentication, send a test through mail-tester.com to get a score and specific issues, keep a healthy text-to-link ratio, use a consistent From address, and remove invalid recipients. For newsletters, always use a genuine unsubscribe link. If your mail scores well on mail-tester but still lands in spam at one provider, ask recipients to mark it "not spam" and add you to contacts.
