Deleting a mailbox
When a staff member leaves or an address is no longer needed, you can remove the mailbox. Back up any important mail first, because deleting a mailbox permanently removes its stored messages.
To delete in the DirhamHost panel:
- Open Email Accounts.
- Find the mailbox and click Manage (or the delete icon).
- Choose Delete Email Account and confirm.
Before deleting, consider:
- Archive the mail - add the account to a desktop client via IMAP and export it, or download key messages from Omnio webmail.
- Preserve continuity - instead of deleting, you could change the password and set up a forwarder so mail to that address reaches a colleague during a handover.
- Redirect future mail - add a forwarder or alias so customers writing to the old address still reach someone.
A common approach when someone leaves is: change the password (to cut off their access), forward the address to their manager for a month, then delete it once you are sure nothing important remains.
