Avoiding spam-trigger content
Even with perfect authentication, the content of your message can push it into spam. Filters score wording, formatting and structure. Here is how to keep your mail clean.
Wording to avoid or use sparingly:
- Aggressive sales phrases: "free", "act now", "limited time", "100% guaranteed", "risk-free".
- Money and urgency: "cash", "earn extra", "urgent", excessive currency symbols.
- ALL CAPS subjects and rows of exclamation marks!!!
Formatting best practices:
- Keep a healthy text-to-image ratio - a single large image with almost no text looks like spam.
- Do not overload with links; a few relevant links are fine.
- Use clean, valid HTML; broken or hidden HTML raises flags.
- Avoid link shorteners and mismatched link text (text saying one URL but linking to another).
Structure: include your real business name and contact details, and for bulk mail a working unsubscribe link. Attachments like .exe or unexpected .zip files are heavily penalised.
Test your draft with mail-tester.com, which lists exactly which content rules you tripped and by how much. Write as you would to a customer you respect - clear, honest and useful - and you will usually pass.
